When you enquire, book a session or use an online gallery, I may collect:
Your name, email address, telephone number and relevant address details.
Booking information, correspondence, contracts and payment records.
Names and ages of people being photographed, where needed to plan the session.
Photographs of you and your family.
Gallery activity, such as image selections, downloads and orders.
Any additional information you choose to provide to help me accommodate your family.
Information usually comes directly from you. For sessions organised through an event or another business, the organiser may provide your contact details or help identify your photographs.
I use your information to respond to enquiries, arrange sessions, take and edit photographs, deliver galleries, fulfil orders and manage payments. My lawful basis is taking steps towards, or performing, our contract.
For other participants, including children, I rely on my legitimate interest in providing the photography service requested by the booking client, while considering each participant’s privacy.
I also use relevant records to meet legal obligations, including tax requirements, and rely on legitimate interests to maintain business security and handle complaints or legal claims.
Essential booking details are needed to provide my services. Without them, I may be unable to accept or complete a booking.
Children’s sessions are arranged through a parent or guardian. I collect only the information needed to plan and provide the session.
Please avoid sending unnecessary medical information. If health or accessibility information is needed, I will explain its use and seek explicit consent where required.
I will request separate, optional permission before using identifiable client photographs on my website, social media, portfolio or advertising. For children, I request permission from someone with parental responsibility.
Declining permission does not affect your booking or service.
You may withdraw consent by contacting me. This does not affect earlier lawful use. I will stop future use and remove images from channels I control where possible, although I cannot guarantee removal of copies independently shared by others or recall printed material already distributed.
I use Pic-Time to display and deliver photographs and, where applicable, manage downloads and orders. Pic-Time processes information connected with your gallery use under its applicable terms and privacy notice.
Other providers may process information where needed to support my services, including google drive.
Relevant information may also be shared with professional advisers or authorities where necessary or legally required. I do not sell your personal information.
Please keep gallery links, passwords and download codes private. Anyone you share access with may be able to view the photographs available through that access.
Some service providers may process personal information outside the UK.
My retention periods are:
Enquiries that do not lead to a booking: 1 month.
Booking correspondence and agreements: 6 years.
Invoices and tax records: for the applicable statutory retention period.
Original and edited photographs, including backups: 1 year.
Online galleries:1 year.
Records may be kept longer where necessary to meet a legal obligation or resolve a dispute. Once no longer needed, information is securely deleted or anonymised.
Please download and back up your delivered photographs before your gallery expires.
I use appropriate technical and organisational measures to protect personal information and limit access to those who need it to provide my services.
Depending on the circumstances, you may ask to access, correct or delete your personal information, restrict its use, receive a portable copy, or object to processing based on legitimate interests.
Where processing relies on consent, you can withdraw that consent at any time. These rights have legal limits, and some records may need to be retained.
To make a request or raise a concern, contact me using the details above. You may also complain to the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/.
